Gathering information to put in a message can be simple if all the information is readily available, but on occasion, it will be required to research and analyze information when the message it more complex and tougher to get across to the audience. It will also help to look at other viewpoints and put yourself in their shoes to try and figure out what they might be thinking. Asking your audience for input can help with this stage in case you are unsure of what they might be looking for.
Selecting the Right Medium
Selecting the right “medium” is the way you choose to communicate your message to the audience. Whether that be oral, written, visual or electronic is up to you, but it is important to figure out what you think would be the most effective way to deliver the message. “Selecting the best medium for your message can make the difference between effective and ineffective communication” (Bovee&Thill, 2014). This reinforces how vital selecting the right medium is when planning a message.
Organizing Your Message
It is important to organize your message well so you do not mislead the audience, which could possibly result in them viewing you differently in the future. By making your point clear and precise this will satisfy the need of information for your audience. Establishing credibility with your audience helps in terms of them accepting the message and will make the whole thing run smoother. It is also important to determine whether you take a direct or indirect approach to organizing the message as well as determining the scope before you advance to the writing stage.

The second step in the three-step writing process is the actual writing. The actual writing as you can see comes after the planning which makes it the second most important part of writing a business message. When writing a business message the most important thing to keep in mind is whom you are writing the message to.
Adapt to your Audience
Build a strong relationship with your audience by establishing your credibility and protect your company’s preferred image. Control your style with a conversational tone, plain English, and appropriate voice. Make sure you are sensitive to audience needs by using a “you” attitude. This builds a strong relationship with the audience and makes the delivery aspect of the message important.
