As part of our Office Management course we are required, as part of a group to produce a report for the Managing Director of the company with information on Conceptual, Technical and human skills necessary for the office manager and the importance of these skills in order to work efficiently and effectively. We are required to provide information on how a manager would use these skills at work.
Human Skills
One of the major criteria for success in running an office is the attitude of the person in charge, their attitude to work, to people and employees. Conceptual Skills
These are skills that include thinking creatively and working without close supervision, the ability to make good decisions, identify and correct inefficient processes. It is important for the manager to be able to see the organization as a whole and they need to have knowledge of the various parts of the organization, what they do and how they interact and how new ideas can fit together to benefit the business. Conceptual skills also involve strategic thinking – planning ahead and predicting what was going to happen. A manager with good conceptual skills should be able to study, analyze and examine problems and formulate an effective course of action that will enable the smooth and better functioning office and understand how a change to one part of the organization could impact on other parts. These skills are useful in a wide range of situations. It is the manager’s job to set goals and decide how to achieve them and determine where the business should be going and how best to get there. The ability to plan and think ahead is an important aspect of conceptual skills. Everyone working in an office should plan their work or have it planned by a supervisor. Planning is important as it is all to easy to promise that deadlines and tasks will be completed by a certain date only to find that it is impossible.
Technical Skills
Technical skills are work related skills that involve knowing about things, it is the knowledge required to perform tasks, these skills are related to working with tools or equipment, it is your knowledge and ability to use computer technology and all office equipment. It is important for office managers to understand and be able to use high-tec office equipment and complex computer software packages such as Microsoft Word, PowerPoint, Outlook and Excel; to enable them to perform such task as producing reports, writing proposals, presentations and memorandums, ordering equipment and generating ideas that streamline document workflow and meet deadlines. Technical accounting skills are required for accurate recording of financial information and creating budgets. Not only does this relate to money coming into the business but money going out as well.
