Automating a Support System Needs Document
An organization should have an established system to facilitate improvement in the efficiency of their company. Whether the improvement is in the marketing department, human resources department, accounting department, or any other department, the process of building a support system is of utmost importance.
Kudler Fine Foods (KFF) is a food service company that started in San Diego and currently has three stores in other large cities in California. Marketing is a function of an organization with a set of processes for the creation, the communication, and the promotion and delivering of services of value to consumers while managing the consumer relationships and at the same time benefit Kudler Fine Foods and its stakeholders. The marketing method decided upon affects all concerned individuals in the organization.
CIO Versus Steering Committee
Steering committees are generally stakeholders who provide guidance on most of the strategic decisions and directions of an organization. The committee is comprised of peers from the company both internal and external or otherwise known as direct or indirect stakeholders. Currently, Kathy Kudler is the owner of Kudler’s Fine Foods and controls much of the management decisions made at KFF. Kathy Kudler has a small group of managers that she depends on and trusts to make the right decisions for her company. The decisions are made by this same steering committee of managers and as a result, the company has remained very successful.
Advantages and Disadvantages of a Steering Committee
Some of the advantages of using a steering committee is that the stakeholders have a vested interest in the organization and its success. The committee’s evaluation of the importance or the potential success of a project is trusted because the peers have a better knowledge of the organizations facts, financial information, and needs as a whole than if one person were making a decision. Decisions on interpretation and recommendations consider all points of view. Many organizations succeed by having a group vote on important issues. If an agenda is followed, this is usually because more than one person is tasked with the details to completion (Stolz, 2003).
The disadvantages of a steering committee are that the more people there are involved in a project; the chances of disagreements and conflicts are likely. This type of group mix can cause a slow-down in progress. If a key member of the group fails to show up for a meeting, this may also cause a slow-down in progress. The advantages of a Steering Committee far outweighs the disadvantages because more than one decision, opinion, and suggestion are offered up for a successful completion (Stolz, 2003).
Advantages and Disadvantages of a CIO
Having a Chief Information Officer (CIO) in charge of such a large project may be disadvantageous because she may not be able to handle all the tasks by herself. Having a group takes much more of the responsibility off one person. The CIO’s focus is usually to manage conflict and to oversee the allocation of money and power distribution in the technology area (Robbins, 2013). The CIO has many other tasks he has to oversee such as computer failures, viruses, loss of data, and as an information resource officer.
